DynAdmic, is a marketplace that allows media buyers to purchase premium digital video advertising inventory through a proprietary audio recognition technology that targets specific audiences based on the video’s content.

We’re looking for an organized, detailed-oriented, resourceful, self-motivated individual to provide administrative and operational support across all areas of our business.

As the Administrative Office Manager at DynAdmic, you will play a primary role in ensuring that all office administrative functions are coordinated to achieve a high level of productivity within the company. You will have the unique opportunity to work hands-on with all departments in the company and will be the main interface for staff and accounting management.

Responsibilities

Payroll management (25%)

  • Collects, analyzes, enters and controls variable payroll elements
  • Ensures compliance with deadlines and the compliance of pay slips
  • Monitors regularly labor legislations

Staff administrative management (25%)

  • Issues single declaration of employments along with personnel files
  • Establishes formal affiliation/enrollment to health and welfare organisms
  • Follows-up with legal evolutions
  • Participates to the onboarding management: statements, medical check
  • Follows-up on staff leaves
  • Follows-up on trial and waiting periods
  • Tracks and updates the staffing tables
  • Follows-up with personnel files, writing correspondences, administrative files management
  • Ensures the reporting management

Administrative and accounting management (30%)

  • Follows-up with invoicing
  • Tracks cost recovery & litigations processes
  • Transmits accounting items to the accounting firm (customer invoices, expense reports)
  • Manages the third-party providers (accounting firm, salary management tool)

Office Management (20%)

  • Participates to the operational management of the workspace (living environment management)
  • Ensures the equipment availabilities management (PC, smartphones..)
  • Becomes the main point of contact for all of our partners, suppliers and service providers (cleaning service, maintenance..)

Requirements

  • You have at least 2 years’ experience managing administration and operations in a fast-growing office.
  • You are extremely proactive and known for anticipating needs before anyone else; when you see something wrong, you fix it
  • You value efficiency and want to help the business be the best it can be; you’re always looking for practices and processes that can be improved.
  • You’re exceptionally organized, a natural project manager, and committed to ensuring tasks are done well and on time.
  • You have excellent verbal and written communication skills. Spanish and English fluent. French is a plus.
  • You understand that there’s no such thing as a “typical day” as an Administrative manager; you consider yourself flexible and able to roll with the punches of anything that comes your way.
  • You’re emotionally intelligent and sensitive to group dynamics and needs.
  • You’re great at planning fun and creative events.
  • You understand the importance of being accessible; team members feel comfortable approaching you.
